Invoice / Estimate Generator

What this generator does

This page creates a plain-text invoice or estimate. You enter your business and client details, add line items, choose tax and discount settings, and the page calculates a running total. It supports several currencies and lets you add terms, notes and a footer. The output is text that you can copy or download. It is a quick document draft for a small job, not an accounting system or a tax filing tool.

Invoice versus estimate

The toggle switches the document between an invoice and an estimate. An invoice requests payment for work already done. An estimate proposes a price before the work begins. The labels, headings and downloaded filename change with the toggle, but the line-item math is the same. Use the correct document for the stage of the job, and do not send an estimate as if it were a final bill.

Business and client details

The form asks for a business name, client name and issue date, with today as the default. You can add contact details, an invoice or estimate number, a due date and a purchase order reference. The number and dates help both parties match the document to a job. Use a consistent numbering scheme if you issue more than one document. The page does not generate a sequential number for you.

Line items and quantities

Each line item has a description, quantity and unit price. Add as many rows as the job needs. The description should identify the work clearly; a client should not have to guess what a line means. Quantities can be fractional if you bill hours or partial units. The page multiplies quantity by unit price for the line total. It does not validate that the description is complete or that the quantity is realistic.

Tax, discount and totals

You can add a tax percentage and a discount that is either a fixed amount or a percentage. The page calculates a subtotal, applies the discount and tax, and shows the total. The order of those calculations matters, so check the result. A discount larger than the subtotal, or a negative quantity, can produce a negative total. The page does not enforce a minimum or explain the tax treatment for your jurisdiction.

Currency options

The currency menu includes dollars, euros, pounds, yen and Canadian dollars. The symbol changes in the document, but the page does not convert amounts or fetch exchange rates. If you bill in one currency and display another, the numbers will be misleading. Choose the currency of the agreement and state any tax or payment terms in the notes. For international work, clarify who pays conversion fees.

Terms, notes and footer

The terms field can hold payment instructions, late-fee language or a due-date reminder. Notes can explain the scope or a discount. The footer can carry a thank-you line, a registration number or contact details. Keep these fields concise. A long block of legal terms in a text invoice may not be enforceable or appropriate; use a separate contract for complex payment terms.

How the totals are calculated

The page updates totals as you edit the line items. Each line is quantity times unit price. The subtotal is the sum of the lines. A percentage discount is applied to the subtotal, or a fixed discount is subtracted. Tax is then applied according to the entered percentage. Because the page does not know your local tax rules, you must decide whether tax should apply before or after the discount and whether any items are exempt.

Output and download

The preview shows a plain-text document. You can edit the text area, copy it or download it as invoice.txt or estimate.txt depending on the toggle. The page does not create a PDF, open a print dialog, email the document or store it in an accounting system. If you need a PDF, paste the text into a document editor and format it there, or use a dedicated invoicing tool.

No PDF or print output

The current page produces text, not a designed PDF. That is a real limitation if a client expects a branded invoice with a logo, page numbers and a signature block. You can still use the text as a source and format it elsewhere. Do not tell a client that the download is a PDF. Check the file extension and the content before sending it.

Negative totals and validation

The form requires at least one line item, but it does not prevent negative quantities, an oversized discount or other combinations that produce a negative total. A negative invoice is usually a credit note, not a bill. If the total is negative, review the inputs and decide whether you need a different document. The page also does not validate tax rates, currency codes or due dates against a calendar.

Privacy and local processing

The invoice is generated in the browser and is not sent to Newisty. That is convenient for client names and amounts, but the data stays in the page until you clear it or close the tab. The downloaded text file is not encrypted. On a shared computer, clear the form and remove the downloaded file when you finish. Do not paste bank details you would not want on the device.

Common problems

If the total looks wrong, check the discount type, the tax percentage and the order of the line items. If the currency symbol is wrong, change the menu. If the preview is empty, add a line item. If the downloaded file is not a PDF, that is expected. If a client needs a formal document, format the text in a document editor or use an invoicing service.

What not to do

Do not use the page as your only tax calculation. Do not issue a negative total as a normal invoice. Do not assume the currency menu converts money. Do not put complex legal terms in the notes and expect them to be a contract. Do not send an estimate as a final bill. Do not claim the download is a PDF. Do not keep client financial data on a shared device.
