Demand Letter for Refund

What this generator does

This page builds a demand letter asking a seller to refund, repair, replace or otherwise resolve a defective product or service. You enter the seller, the buyer, the product or service, the defect, the amount, the resolution you want and a deadline. The page writes a plain-text letter that you can edit, copy or download. It runs in the browser. It is a template for a consumer complaint, not legal advice or a court filing.

When to use a demand letter

A demand letter is useful when an informal request has not worked and you want a clear written record of the problem and the remedy you expect. It can precede a chargeback, a consumer-protection complaint or a small-claims filing. It is not a guarantee of payment, and it does not force the seller to act. If the amount is large or the dispute is complex, get advice before relying on a template.

Seller and buyer details

The form asks for the seller name and address, the buyer name and contact details, the product or service, the purchase date, the amount and an order number. A complete letter identifies the transaction precisely. The current form does not include a separate buyer postal address or a proof-of-purchase attachment field. Add those details in the body or an attachment if they matter. Keep the tone factual and avoid personal attacks.

The defect and the timeline

Describe what is wrong, when you noticed it and what you have already tried. Include dates, error messages, photos or repair attempts where relevant. A clear chronology helps the seller understand the claim and helps a later reviewer follow it. Do not exaggerate or omit a fact that the seller can easily disprove. If the product was damaged after delivery, say so rather than presenting it as a manufacturing defect.

Choosing a resolution

The resolution menu offers a refund, repair, replacement, partial refund or a custom request. Choose the remedy you actually want and state the amount if money is involved. A repair may be more realistic than a refund for a repairable item; a partial refund may fit a minor defect. The letter should ask for one clear outcome, not a list of alternatives that lets the seller choose the easiest one.

Deadline and legal basis

The deadline menu offers 7, 14, 21, 30 or a custom number of days, with 14 as the default. The advanced section can add a warranty reference, prior-contact details, a legal basis and a jurisdiction line. The legal-basis options include general, implied warranty, consumer law and misrepresentation. These are labels, not a legal analysis. Use them only if they fit the facts and your local law.

Prior contact and evidence

The advanced section lets you record prior contact and add notes. Keep the dates and channels of previous messages, the responses you received and any case or ticket numbers. Attach the receipt, order confirmation, warranty and photos if the delivery method allows attachments. A demand letter is stronger when it is specific and consistent with the evidence, not when it is long.

Output, copy and download

The generated letter appears in an editable text area. Revise it before sending. Copy puts it on the clipboard, and the download button saves a text file. The page does not send the letter to the seller, file a complaint or process a payment. You choose the delivery method and keep a copy. If you need a signature, add it in your email client or a document editor after downloading.

Legal limits and disclaimers

This is a template. It does not know your consumer-protection rights, the warranty terms, the correct court or the limitation period. It does not create an attorney-client relationship. A demand letter can be used in a later dispute, so accuracy matters. If the seller is a company with a legal team, or the amount is significant, have a lawyer review the letter before sending.

Jurisdiction and consumer agencies

The jurisdiction field is a label, not a determination of where a case belongs. Consumer rules vary by country, state and sometimes city. A local consumer-protection agency, a small-claims court or a chargeback process may be more effective than a letter. Check the official process and the deadline before you threaten legal action. Do not cite a statute you have not confirmed.

Delivery and follow-up

Send the letter through a channel that gives you a record, such as email with a read receipt or tracked mail. Keep the receipt and a copy of the letter. Decide what you will do if the seller ignores it or offers a partial remedy. A follow-up can be shorter, but it should refer to the original date and the response, or lack of one. Do not send repeated threats without taking a real next step.

Privacy and sensitive information

The letter may contain your address, order details, photos and financial information. The form runs in your browser, but the downloaded file is not protected. Do not paste information you would not want on a shared device. Send only what the seller needs to identify the transaction. Clear the form when you finish, especially on a public computer.

Common problems

If the letter is vague, add the order number, dates and a specific remedy. If the amount is disputed, attach the receipt and explain the calculation. If the deadline is unrealistic, change it. If the legal basis does not fit, remove it. If the seller responds with a repair offer and you want a refund, say why the offer is not acceptable. If you are unsure about your rights, get local advice before sending.

What not to do

Do not threaten action you will not take. Do not invent a defect or inflate an amount. Do not include unrelated personal complaints. Do not send the letter without a receipt or order record. Do not assume the template fits your country's consumer law. Do not publish the seller's private data. Do not treat a demand letter as a guarantee of a refund.
